1. Information We Collect
1.1 Personal Information You Provide
We collect personal information that you voluntarily provide when you:
- Create a Candidate or Employer account
- Submit a job application or upload a resume
- Purchase a Talent Signal job posting subscription
- Fill out a contact form or inquiry
- Subscribe to our communications
- Schedule a consultation
This information may include:
- Full name, email address, phone number, and mailing address (street address, city, state, ZIP code)
- Resume, cover letter, and project list files uploaded with job applications
- Work history, job titles, and professional qualifications
- Professional certifications and licenses
- Skills, construction software proficiency, and construction division specialization
- Job search preferences, including salary expectations and maximum commute distance
- LinkedIn profile URL
- Saved or favorited job listings associated with your account
- Company name, company website URL, company logo, and business contact details (for Employer/Client accounts)
- Executive Search agreement details, including fee terms, signer information, and generated or signed agreement documents (for Employer/Client accounts)
- Account credentials (email and encrypted password)
- Payment and billing information (processed securely by Stripe; we do not store credit card numbers)
1.2 Automated Resume Parsing
When you upload a resume during account registration or a job application, we may use automated parsing technology provided by a third-party service to extract structured data (such as your name, contact details, work history, education, skills, and certifications) from your resume file. This data is used solely to pre-fill your profile and application forms for your convenience. The uploaded file is processed and then immediately deleted from the third-party service after parsing is complete. You can review and edit all extracted information before submitting your application.
1.3 Resume Vault
We maintain a resume vault that stores multiple versions of resumes you upload over time. Each version is retained with a file hash to avoid storing duplicate copies. You may have one primary resume on file. Previously uploaded versions are retained for your convenience and for ongoing job matching until you request deletion.
1.4 Information Collected Automatically
When you visit our Site, we may automatically collect certain information, including:
- IP address, browser type, and operating system
- Pages visited, time spent on pages, and referring URLs
- Device identifiers and general geolocation data
- Cookies and similar tracking technologies (see Section 5)
2. How We Use Your Information
We use the information we collect to:
- Provide recruitment services: Match Candidates with suitable job opportunities and connect Clients with qualified talent, including through AI-assisted compatibility scoring (see Section 3.1).
- Process applications: Forward resumes, cover letters, project lists, and candidate profiles to our Applicant Tracking System (ATS) for review by our recruitment team. When you upload a resume, we use automated parsing to extract relevant details and pre-fill your forms.
- Process payments: Facilitate subscription payments for Talent Signal job postings through our third-party payment processor, Stripe.
- Manage accounts: Create and maintain your Candidate or Employer account.
- Communicate with you: Send account-related emails (verification codes, password resets, purchase confirmations), job alerts, scheduling confirmations, and respond to inquiries.
- Improve our services: Analyze usage patterns to enhance site functionality, content, and user experience.
- Ensure security: Detect and prevent fraud, unauthorized access, brute-force attacks, and other harmful activities.
- Comply with legal obligations: Meet applicable legal, regulatory, and contractual requirements.
3. How We Share Your Information
We do not sell your personal information. We do not share your personal information for cross-context behavioral advertising. We do not monetize candidate data. Candidate information is used solely for professional recruitment and placement purposes. We may share your information in the following circumstances:
- With prospective employers: When you apply for a position, your resume, cover letter, project list, and application details (including compatibility scores generated by our matching technology) are shared with the relevant Client (employer) for consideration. Employers can view your application, update its status, and access uploaded documents for the purpose of evaluating your candidacy.
- With our Applicant Tracking System (ATS): We use Loxo as our ATS/CRM to manage the recruitment pipeline. Candidate data submitted through the Site is synced to Loxo for processing.
- With our resume parsing provider: When you upload a resume, the file is sent to a third-party parsing service to extract structured data. The file is deleted from the provider immediately after processing. No resume content is retained by the parsing service.
- With AI and machine learning providers: We use OpenAI services for candidate-job compatibility scoring (text embeddings), structured tag extraction from job descriptions, and content moderation of employer-submitted job postings. Data sent to OpenAI is used solely for processing and is not used by OpenAI to train its models. Only information necessary for each specific function is transmitted (e.g., job titles and skills for matching, job description text for tag extraction).
- With our payment processor: When you purchase a Talent Signal subscription or an Executive Search retainer invoice is issued, payment details are processed by Stripe. We receive confirmation of payment status, subscription details, and a customer identifier, but we never receive or store your full credit card number. Stripe's privacy policy governs their handling of your payment data.
- With our email service provider: We use Azure Communication Services to send transactional emails (account verification, password resets, purchase confirmations, contact form responses). Only the recipient email address and message content are transmitted.
- With our logo detection provider: When displaying employer listings, we may send a company's website domain to Logo.dev to retrieve the company logo. No personal user data is transmitted in this process.
- With Google (reCAPTCHA): We use Google reCAPTCHA v3 on certain forms (contact, sign-up, and application forms) to protect against automated abuse. reCAPTCHA collects hardware and software information (such as device data and interaction events) and sends it to Google for analysis. This data is governed by Google's Privacy Policy and Terms of Service.
- With service providers: We may share data with trusted third-party providers who assist with hosting (Microsoft Azure, including Azure Blob Storage for document and file storage), analytics (Google Analytics), and other operational needs. These providers are contractually obligated to protect your data.
- For legal compliance: We may disclose information if required by law, subpoena, court order, or government regulation, or to protect our rights, safety, or property.
- In a business transfer: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of the transaction.
3.1 Automated Technology and AI
We use artificial intelligence and automated tools to enhance our services. Specifically:
- Candidate-job matching: We use AI-powered technology (including text embeddings and natural language processing) to compute compatibility scores between candidate profiles and job postings. Scores are based on factors such as job title relevance, skills alignment, salary expectations, experience level, location proximity, and industry division. These scores are visible to our internal recruitment team and to employers reviewing applications for their posted positions. Scores are advisory tools and do not replace human decision-making.
- Resume parsing: Uploaded resumes are processed by an automated service to extract structured data. This data pre-fills your profile for convenience and is cached for future use to avoid redundant processing.
- Content moderation: Employer-submitted job postings are screened by AI-based moderation tools before publication to detect prohibited content. Postings that pass automated screening may be published automatically; those flagged are routed to staff review.
- Job description analysis: We extract structured information (skills, certifications, seniority level) from job descriptions using AI tools to improve search accuracy and matching quality.
No application is automatically accepted or rejected solely by an algorithm. If you have questions about how automated tools are used in your candidacy, please contact us.
4. Data Retention
We retain your personal information for as long as necessary to fulfill the purposes described in this Privacy Policy, or as required by law. Specific retention periods include:
- Candidate profiles and resumes: Retained in our recruitment system for ongoing job matching until you request deletion. The resume vault retains all versions you have uploaded; you may request deletion of specific versions or your entire history.
- Application data: Job applications, including uploaded documents (resumes, cover letters, project lists), compatibility scores, and status history, are retained for as long as needed to complete the recruitment process and for record-keeping purposes.
- Employer accounts and job postings: Retained while the account is active. Expired or closed job postings are retained for record-keeping purposes.
- Executive Search agreements: Agreement documents, placement records, and related correspondence are retained for seven (7) years to comply with business and legal requirements.
- Payment records: Transaction records are retained for seven (7) years to comply with tax and accounting requirements.
- Saved jobs: Retained while your account is active. Removed upon account deletion or at your request.
- Contact form submissions: Retained for up to two (2) years for follow-up and service improvement purposes.
- Analytics data: Aggregated, anonymized analytics data may be retained indefinitely.
You may request deletion of your data at any time by contacting us (see Section 10).
5. Cookies and Tracking Technologies
Our Site uses cookies and similar technologies to enhance your browsing experience, remember your preferences, and analyze site traffic. Cookies are small text files stored on your device when you visit a website.
We use the following types of cookies:
- Essential cookies: Required for basic site functionality (e.g., session management, CSRF protection, authentication). These are always active and cannot be disabled.
- Analytics cookies: We use Google Analytics 4 (GA4) to understand how visitors interact with our Site. GA4 collects anonymized usage data such as pages visited, time spent, and referral sources. 5.1 Do Not Track
Our Site does not currently respond to "Do Not Track" (DNT) browser signals, as there is no industry-standard method for honoring such requests. We will update this policy if a uniform standard is established.

We implement industry-standard technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These include encrypted data transmission (HTTPS/TLS), secure password hashing, rate limiting and brute-force protection on login endpoints, Content Security Policy headers, secure cloud storage (Microsoft Azure Blob Storage for uploaded documents with private access controls), and restricted access to personal data on a need-to-know basis.
However, no method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

Depending on your location, you may have the following rights regarding your personal information:
- Access: Request a copy of the personal data we hold about you.
- Correction: Request correction of inaccurate or incomplete information.
- Deletion: Request deletion of your personal data, subject to legal retention requirements.
- Opt-out: Unsubscribe from marketing communications at any time by clicking the "unsubscribe" link in our emails or contacting us directly.
- Data portability: Request your data in a structured, commonly used format where technically feasible.
